Role: Operations Associate, Logistics
Location: New York City (LIC Office)
Reports to: General Manager
Comp Range: $60,000 – 65,000/year (non-exempt) ($28.85-31.25/hour)
Role Overview
The Operations Associate, Logistics supports Manic Panic’s daily operational and fulfillment workflows across retail, e-commerce, international, and B2B channels. This role is responsible for accurate order entry, invoicing, fulfillment coordination, and cross-department communication to ensure a smooth and efficient flow of products from warehouse to customer.
The ideal candidate is detail-oriented, highly organized, and able to work in a fast-paced environment with multiple systems and stakeholders.
Key Responsibilities
- Order Fulfillment & Warehouse Coordination
- Oversee Shopify order fulfillment from the Long Island City warehouse, including coordination of picking, packing, and shipment.
- Oversee picking, packing, and shipping of customer service orders (via Wrike), PR/marketing shipments, and sample orders.
- Manage Depop account listings, order processing, and fulfillment.
- Assisting with marketing/PR order fulfilment & shipping
- Assisting with maintaining and organizing office inventory
- Order Entry, Invoicing & Systems Management
- Enter and invoice key domestic retailer orders in QuickBooks.
- Create LOS (loss of sale) estimates for major domestic customers when shortships occur.
- Export domestic retail orders from EDI platforms for entry into QuickBooks Enterprise and reconcile invoicing between systems.
- Enter international orders into Neele-Vat and invoice orders in QuickBooks once shipped.
- Enter B2B wholesale orders into Extensiv and invoice orders in QuickBooks once shipped.
- Maintain accuracy across all order-entry systems
- Cross-Functional Coordination & Vendor Communication
- Communicate regularly with internal departments (Accounting, Sales, Customer Service, Marketing) to ensure order accuracy and timely invoicing.
- Collaborate with external vendors, freight partners, and warehouse teams to resolve issues, clarify details, and flag discrepancies as they arise.
- Support operational alignment around order timelines, shipping requirements, and customer expectations.
- Tracking, Reporting & Documentation
- Update the open orders sheet daily to reflect status, shipment timing, and outstanding needs.
- Document shortships, substitutions, or any other order changes accurately and promptly.
- Maintain organized records for all domestic, international, B2B, and e-commerce shipments.
- Monitoring inbound and outbound shipment tracking for inventory and wholesale customer orders (I.E watching the tracking of shipments I book and flagging any issues / delays)
- Other projects as assigned
Qualifications
- 1-3 years of experience in operations, logistics, order management, or a related field.
- Strong attention to detail and accuracy, especially in high-volume environments.
- Ability to work independently and collaboratively across teams.
- Excellent organizational and time management skills with the ability to manage multiple priorities.
- Strong communication skills; comfortable interacting with internal teams and external partners.
- Experience with any of the following systems is a plus but not required:
- Quickbooks
- Shopify
- EDI platforms
- Extensiv
- Wrike
- Proficiency in Microsoft Excel and Google Sheets.
- Must be based in the New York City metro area.
