About the Role
We are seeking a detail-oriented and organized Shipping & Freight Coordinator to support our freight operations.
This position will play an important role in coordinating freight quotes, booking shipments, updating customers’ sales orders for freight charges, reviewing carrier invoices with accounting, and supporting internal teams with accurate logistics records.
This role will also support shipping-related documentation, shipment follow-up, and process improvements related to freight and outbound shipping.
The ideal candidate is proactive, accurate with data entry, comfortable communicating with customers and carriers, and able to manage multiple administrative tasks in a fast-paced environment.
This is an on-site role that requires regular coordination with office, customer service, accounting, receiving, and operations teams.
Key Responsibilities
- Quote freight charges to customers accurately and in a timely manner.
- Book freight shipments, primarily for bank and millwork-related orders.
- Assist with providing tracking information and estimated time of arrival updates to customers upon request.
- Maintain accurate freight records, including carrier quotes, shipment details, and supporting documentation.
- Add freight charges to sales orders using the correct cost-plus-markup process.
- Coordinate freight claims processing with carriers for freight damage issues, in partnership with customer service and receiving.
- Review carrier invoices for accuracy.
- Dispute incorrect freight charges and follow up with carriers until resolved.
- Work closely with the accounting team on freight billing, invoice questions, and payment support.
- Communicate professionally with customers, carriers, accounting, sales, and operations teams.
- Maintain organized records and assist with general administrative duties related to logistics and freight.
- Work with the Supply Chain Director on freight and shipping process improvements, cost-reduction initiatives, and other related duties as needed.
- Align with and work toward achieving company, department, and personal goals as established by management.
Required Skills and Experience
- 3–5+ years of experience in logistics, freight coordination, shipping administration, order administration, or a similar role preferred.
- Experience with ERP systems, TMS platforms, order entry, accounting, or freight systems is preferred.
- Comfortable working with sales orders, freight charges, invoices, and transportation management systems (TMS).
- Strong attention to detail and accuracy with pricing, invoices, and order information.
- Good communication skills, both written and verbal.
- Ability to follow up consistently with carriers, customers, and internal teams.
- Strong organizational and time-management skills.
- Ability to prioritize multiple tasks and work independently.
- Proficiency with Microsoft Office, especially Excel and Outlook.
