We are looking for a Logistics Documentation Specialist responsible for coordinating outbound transportation and preparing accurate export documentation to support timely and compliant shipment execution. This role serves as a liaison between vendors, carriers, distribution centers (DCs), and internal teams to ensure shipment integrity, system accuracy, and adherence to U.S. export regulations and company procedures.
What's unique about this job (What you’ll do)
Transportation Coordination
- Coordinate ocean and domestic transportation for shipments originating from U.S. distribution centers or vendors.
- Book transportation with carriers and validate routing, rates, and load dates.
- Monitor shipment movement and proactively address transportation delays or exceptions.
- Communicate shipment status and issues to internal stakeholders and external partners.
- Serve as a point of contact between vendors, carriers, DCs, and internal teams.
Documentation & System Processing
- Ensure shipments and shipment transactions (STs) are created, linked, and updated in accordance with system timelines and controls.
- Maintain accurate shipment data in Transportation Management Systems (TMS) and internal logistics platforms.
- Prevent duplicate or incorrect shipment creation by adhering to system rules and cutoffs.
- Maintain well-organized electronic records for audit and compliance purposes.
- Prepare, review, and process export shipping documentation, including: Shipping Instructions, Bills of Lading, Commercial Invoices, Packing Lists, Supporting regulatory documents
Compliance & Controls
- Ensure compliance with U.S. export regulations, internal SOPs, and company policies.
- Validate data consistency across operational and compliance systems.
- Identify and escalate documentation discrepancies, system issues, or compliance risks.
- Support internal and external audits by providing complete and accurate documentation within required timeframes.
Operational Support
- Track shipment milestones and monitor document deadlines.
- Maintain logs, tracking files, and reports for daily operational visibility.
- Participate in process improvement initiatives to reduce errors, delays, and rework.
- Perform additional logistics or documentation-related duties as assigned.
Bring your passion and expertise (Who you are)
- 3–5 years of experience in transportation coordination, logistics, or export documentation.
- Working knowledge of U.S. export documentation and shipping processes.
- Experience with Transportation Management Systems (TMS) and logistics platforms.
- Strong proficiency in Microsoft Excel and other Microsoft Office applications.
- High attention to detail and ability to manage multiple shipments simultaneously.
- Strong organizational, communication, and problem-solving skills.
- Bilingual (English/Spanish) preferred but not required.
