The Shipping and Receiving Manager is accountable for the end-to-end management of all inbound and returned goods for the store and stock received from third-party warehouses.
The role ensures accurate receiving, effective team leadership, strong control of returns to vendor (RTVs), and smooth coordination across internal and external stakeholders.
Strong organization, people management, and operational discipline are critical to success in this role.
This role plays a critical part in stock integrity, loss prevention, vendor compliance, and smooth downstream operations across warehouse, back-of-house, and sales floor teams.
Key Responsibilities
Receiving & Inbound Operations :
· Oversee all receiving bay activities for wholesale, consignment, drop-ship, and inter-warehouse stock.
· Manage receipt of goods delivered directly from vendors as well as stock transferred from third-party warehouses.
· Ensure deliveries are received within agreed time windows and prioritized according to business needs.
· Oversee unloading, counting, inspection, and segregation of goods by department, brand, or destination.
· Ensure timely movement of stock to warehouse, back-of-house, or shop floor to avoid operational delays.
· Ensure goods are received in line with purchase orders, delivery notes, and system records.
· Ensure damage goods are documented and stored correctly
Returns to Vendor (RTVs) :
· Manage the full RTV process, including identification, documentation, system processing, and physical dispatch.
· Ensure RTVs are raised for damaged, incorrect, excess, or rejected merchandise in line with company policy.
· Coordinate with Buying, Logistics, and vendors to ensure timely vendor acknowledgement and collection.
· Maintain accurate tracking and reporting of all RTVs to ensure stock and financial integrity.
System, Documentation & Stock Control :
· Ensure all receipts and returns are accurately recorded in the system (ERP / merchandising system).
· Validate quantities, barcodes, styles, and condition against purchase orders, transfer notes, and ASN documentation.
· Investigate and escalate discrepancies, shortages, damages, or mis deliveries promptly.
· Maintain clear and auditable records for all inbound and outbound stock movements.
Team Leadership & Roster Management :
· Lead, coach, and manage the receiving bay team to deliver consistent, high-quality performance.
· Develop and manage staff rosters to align labor with delivery volumes and peak trading periods.
· Ensure adequate coverage across shifts and during weekends
· Train and upskill team members on SOPs, systems, health & safety, and loss prevention controls.
· Set clear expectations, monitor performance, and address issues through effective leadership.
Third-Party Warehouse Coordination :
· Act as the key operational contact for goods received from third-party warehouses.
· Ensure inter-warehouse transfers are accurately documented, received, and reconciled.
· Monitor service levels and escalate recurring issues related to shortages, damages, or delays.
· Support process alignment between internal operations and third-party logistics providers.
Vendor & Internal Stakeholder Management :
· Serve as the primary receiving bay contact for suppliers, freight forwarders, and couriers.
· Coordinate closely with Buying, Planning, Logistics, and Store Operations teams.
· Enforce compliance with delivery standards, packaging, labelling, and documentation requirements.
Compliance, Safety & Loss Prevention :
· Ensure strict adherence to health, safety, and security standards in the receiving bay.
· Implement controls to prevent shrinkage, unauthorized stock movement, and procedural breaches.
· Support internal and external audits and ensure corrective actions are implemented.
Reporting & Continuous Improvement :
· Produce regular reports on receiving volumes, discrepancies, RTVs, and pending receipts.
· Identify inefficiencies and propose process improvements to enhance accuracy and throughput.
· Support the rollout and ongoing adherence to receiving SOPs.

Experience & Qualifications :
· 3–5 years’ experience in receiving, logistics, or warehouse operations (retail environment preferred)
· Previous experience managing teams and rosters is essential
· Experience handling RTVs and third-party warehouse coordination strongly preferred
· Department store or multi-brand retail experience an advantage
