The project manager assistant will play a hands-on role in the day-to-day administration and functioning of Planning / Scheduling (50%), Operations Coordination (20%), Administration (20%), and Human Resources (10%). This role requires an outgoing, reliable, problem-solving leader that is comfortable with constant communication (in person, phone, email).

Primary Responsibilities
- Direct daily/weekly scheduling of labor, equipment, and subcontractors; approve timecards; coordinate routes and mobilizations.
- Assist in scheduling and planning: scope reviews, safety risks, equipment needs, materials required.
- Support HR in recruit, hire, onboard, schedule, and coach a multi‑disciplinary team (sales, supervision, field crews, shop/warehouse, admin).
- Create a culture of safety, accountability, and continuous improvement; conduct regular toolbox talks and performance huddles.
- With the direction of corporate management, establish and track branch KPIs (backlog, sales win rate, hourly production rate, schedule adherence, collections, TRIR, etc.).
- Oversee job costing, purchasing, inventory control, shop organization, equipment maintenance, and fleet compliance.
- Ensure quality control and checklist closeout; manage customer escalations.
- Along with senior management, coordinate facility build‑out and layout; stand up inventory, vendor accounts, utilities, IT/phones, signage, and security.
- Along with HR, hiring; implement SOPs, safety program, training, and certification tracking for the team.
- Deploy company systems (CRM/ERP, scheduling, timekeeping, WIP reporting, safety/incident tracking); ensure data integrity.
- Together with our safety team, own safety compliance per applicable OSHA construction standards; investigate incidents and implement corrective actions.
- Collaborate with corporate functions (Operations, Sales, Admin, HR) and other branches to share best practices.
- Occasional travel to HQ/other branches for training, vendor visits, or regional coordination.
- Serve as field contact for customers; fully understand project requirements and constraints.
- Coordinate award handoff with Sales; confirm scope, budget, schedule, submittals, and long‑lead materials.
- Perform pre‑install site visits; compare site conditions to the estimate; identify differences and initiate change orders; notify the project coordinator of added material needs.
- Identify and mitigate unsafe site conditions; instruct crews on proper safe procedures and stop‑work authority.
- Prepare job packets (scope of work, mechanical prints, layout, safety notes, etc.).
- Monitor crew progress and productivity; compare actual to budgeted hours; remove obstacles to keep work on plan.
- Manage change orders end‑to‑end (documentation, pricing, approvals, and invoicing).
- Provide daily progress updates to leadership; escalate risks; coordinate the scheduling of company resources.
- Assist teammates as needed with practical knowledge of cleaning methods and sequencing.
- Identify and report process improvement opportunities across sales, planning, and field execution.
- Attend department/branch meetings to maintain alignment and communication.
- Schedule and coordinate vehicle loadouts.
- Assist with receiving materials and coordination with purchasing.
- Support hiring and onboarding for Cleveland personnel as needed.
- Other responsibilities as directed or assigned.

Qualifications
- Bachelor’s degree preferred; Concentrated study in Project Management, Construction Management, Engineering, or Operations is a plus. Equivalent experience considered.
- PMP, CM‑Lean, or equivalent project management certification.
- OSHA 10 or 30 (General Industry) at hire; ability to obtain/maintain any required certifications (forklift, MEWP, First Aid/CPR).
- 5+ years in construction or specialty contracting operations, including 2+ years with direct people leadership.
- Demonstrated ability to run multiple concurrent jobs, read plans/specs, write a scope of work, and manage subcontractors and vendors.
- Working knowledge of sales fundamentals, job costing, scheduling best practices.
- Proficiency with Microsoft Office; familiarity with CRM/ERP and project scheduling tools.
- Valid driver’s license and acceptable driving record.

Pay: $60,000.00 - $70,000.00 per year
