Position Overview
We are seeking a customer service focused coordinator to sustain the operation and management of our US fleet of over 2500 vehicles and mobile equipment across US natural gas operations. This role covers approximately half of US operations—the stakeholder population spans field technicians, operations managers, and directors.
Reporting to the Team Lead, US Vehicle Fleet Coordination, the Vehicle Fleet Coordinator will utilize strong communication and organization skills to enable the safe, compliant, cost effective and reliable operations of the US vehicle and equipment fleet. The Fleet coordinator will work closely with drivers, leaders, supply chain and the fleet management company to manage inventory, budget costs, and support drivers.
Responsibilities include but are not limited to:
- Triage and resolve a high daily volume of small, quick-turnaround fleet tasks: vehicle assignments, maintenance coordination, fueling support, licensing, and driver issue resolution.
- Manage the ongoing relationship and act as the primary point of coordination/escalation with Element Fleet Management as the primary fleet management company.
- Input and maintenance of vehicle assignment, registration records, and cost allocation data in the Element Fleet Management database as the day-to-day operational tool.
- Requisitioning, invoice review, and receipting for vehicle and equipment fleet costs.
- Interface with external parties including local tax offices and DMVs for fleet registration and compliance purposes.
- Communication across multiple channels (phone, email, and Teams), adjusting register based on whether the other party is a field technician (who are phone-first and do not use computers) or a director.
- Support drivers and leaders with vehicle fueling, maintenance, repairs, licensing and operational issues.
- Support development of vehicle demand plans and replacement requirements.
- Coordinate vehicle ordering process including upfitting requirements.
- Coordinate and process vehicle disposals.
- Ensure compliance with all relevant regulations, including DOT/FMCSA regulations, environmental regulations, and local laws.
- Monitoring, analyzing, and tracking vehicle and equipment fleet data to identify optimization opportunities when bandwidth allows.
- Preparing reports related to fleet operations and presenting them to stakeholders.
- Developing and implementing initiatives to enhance the safety or effectiveness of the vehicle and equipment fleet.
- Identify and support larger-scale process improvements to enhance fleet operations, data accuracy, and service delivery (a genuine stretch opportunity for candidates with analytical aptitude).
Mandatory Qualifications:
- 4–10 Years of operational coordination, fleet operations, dispatch, transportation, vehicle rental, or motor vehicle administration experience (Background must show clear accountability for operational outcomes—not just administrative transaction processing/input-only roles).
- Demonstrated ability to manage a high volume of concurrent, short-cycle tasks from diverse stakeholders without losing track of items.
- Exceptional multi-channel communication (verbal and written) and interpersonal skills; must be highly capable of communicating effectively at both the field level and director level in the same day.
- Strong organizational skills and a demonstrated history of organizing and prioritizing competing requests in a fast-paced operational environment.
- Strong problem-solving abilities and a proactive working style with an instinct for customer service follow-through under volume.
- Strong computer skills, including proficiency in Microsoft 365 (Teams, Outlook, Excel, Word) and web-based database navigation (Element Fleet Management experience is a meaningful advantage).
Desired Qualifications:
- Associate degree in administration, accounting, finance, business, or a related program.
- Industry experience in Oil and gas, transportation, vehicle rental, utilities, heavy logistics, industrial operations, or county/state motor vehicle coordination.
- Direct experience working with or for a third-party Fleet Management Company (FMC), specifically Element Fleet Management familiarity.
- DOT/FMCSA regulatory literacy (A very strong preference and genuine differentiator, though candidates without a DOT background will be considered if volume-management and communication are excellent).
- Analytical aptitude—ability to work with large datasets, spot patterns, and propose modifications or improvements.
