Key Responsibilities:
Client Reporting Coordination:
Coordinate the monthly schedule of contractually required reports (deliverables), including maintaining the master reporting tracker, calendar(s), and communicating due dates to individual report owners.
Track the status of all reports throughout the reporting cycle, including draft development, internal review, submission, and client feedback.
Serve as the coordination point for client feedback on reports, ensuring comments are logged, assigned to appropriate SMEs, and resolved within required timelines.
Own and manage 2-4 monthly client reports, including:
Developing and maintaining report templates and instructions
Coordinating inputs from multiple SMEs
Performing quality checks for completeness, consistency, and formatting
Consolidating inputs and preparing reports for internal review and client submission
Ensure all reports and follow-up documentation are stored in accordance with program standards.
Requirements Traceability Matrix (RTM) Support:
Support RTM related coordination, including tracking requirements, associated deliverables, and supporting artifacts.
Maintain RTM schedules, milestone dates, and status tracking to ensure traceability and audit readiness.
Coordinate with program managers, project managers, and SMEs to collect, organize, and store RTM artifacts in accordance with program standards.
Meeting and Communication Support
Support meeting scheduling for program and project activities, including coordination across multiple stakeholders and time zones as needed.
Prepare agendas, distribute materials, and capture meeting minutes, action items, and decisions.
Track action items and follow?ups from meetings and provide status updates to project leadership.
Project Coordination and PMO Support
Assist project managers with schedule tracking, milestone coordination, and status reporting.
Maintain project documentation, logs, trackers, and repositories in accordance with PMO processes.
Support risk, issue, and dependency tracking by ensuring updates are collected and documented.
Help prepare content for internal and external briefings, reviews, and program status updates.
Ensure PMO standards, templates, and processes are consistently followed across assigned projects.
Required Skills and Qualifications:
Experience:
2-6 years of experience in a project coordinator, project analyst, or PMO support role.
Experience supporting client?facing projects, preferably in a highly regulated and structured environment.
Experience coordinating deliverables that require input from multiple stakeholders.
Core Skills:
Strong organizational skills with the ability to manage multiple deadlines and priorities simultaneously.
Excellent written and verbal communication skills, including the ability to coordinate feedback and follow-ups professionally with individuals at all levels of the organization.
High attention to detail and ability to track status, dates, and dependencies accurately.
Proficiency with MS Office tools (Excel, Word, PowerPoint, Outlook), including Advanced Excel skills. (Advanced PowerPoint or Word skills are a plus.)
Experience with SharePoint and MS Teams or similar collaboration tools required.
Ability to work effectively with cross?functional teams, including project managers, technical SMEs, and leadership.
Preferred Skills:
Experience working in government, telecom, technology, or infrastructure programs.
Experience with MS Project or Planner.
Exposure to project management methodologies (Waterfall, Agile, or hybrid).
Experience with or exposure to Power Automate or Power BI.
Experience developing organizational systems or process improvement/process development.
