We are looking for a detail-oriented Logistics Coordinator to join our team on a contract basis in Santa Clara, California. In this role, you will play a key part in managing shipments, preparing shipping documents, and ensuring smooth coordination between customers, suppliers, and internal teams. This is a three-month contract position, offering an excellent opportunity to contribute to a dynamic environment within the metals and minerals industry.
Responsibilities:
• Coordinate and oversee shipments to meet customer requirements, ensuring all necessary documents such as packing lists and invoices are prepared accurately.
• Monitor shipment progress, communicate updates to customers and suppliers, and address any logistical challenges.
• Prepare purchase orders, track delivery schedules, and provide timely status reports to stakeholders.
• Ensure compliance with import and export regulations by verifying documentation and validating duty rates.
• Collaborate with team members to support customs clearance and order fulfillment processes.
• Issue invoices to customers and process payments to suppliers in a timely manner.
• Resolve any billing or fulfillment issues in coordination with the sales team and other departments.
• Manage accounts receivable and payable, ensuring accurate record-keeping.
• Generate monthly reports on sales, purchasing, and inventory levels, and monitor product inventories.
• Provide operational assistance and contribute to special projects as needed.
• Bachelor’s degree in a business-related field or equivalent experience.
• 1-3 years of experience in logistics, shipping, or administrative roles, preferably in a coordinator capacity.
• Proficiency in preparing shipping documents, including packing lists and commercial invoices.
• Strong communication skills, both written and verbal, with the ability to interact effectively in English.
• Familiarity with working in multicultural business environments; knowledge of Japanese is a plus but not required.
• Proficiency in Microsoft Excel and Word for reporting and documentation.
• Experience in handling industrial products and managing import/export processes is preferred.
• Ability to adapt to a fast-paced environment and manage multiple tasks effectively.
