Job Overview
The Logistics Specialist is responsible for managing end-to-end logistics operations for the duty-free business, including coordinating multimodal shipment consolidations to cruise ships, booking freight, and managing supply orders across global trade lanes. This role requires a detail-oriented professional with a strong command of international shipping regulations, customs compliance, and 3PL partnership management.
As a mid-level specialist, this individual will operate with a high degree of autonomy, proactively managing day-to-day logistics activities while supporting the Logistics Manager on strategic planning and cross-functional initiatives. The role is critical to ensuring the seamless flow of goods as the business continues to scale globally.
This role is based in our headquarters in New York City and requires a full-time onsite presence.
Key Responsibilities
Shipment Coordination & Tracking
- Own the full shipment lifecycle — from scheduling pickups and carrier bookings through final delivery to assigned cruise vessels — ensuring on-time performance across all lanes.
- Track and manage purchase orders in close coordination with the Merchandise and Buying teams, maintaining real-time visibility from vendor confirmation through final delivery.
- Simultaneously manage multiple high-priority shipments with competing deadlines, applying sound judgment to triage, escalate, and resolve delays before they impact operations.
- Serve as the primary operational liaison with carriers, freight forwarders, customs brokers, 3PL partners, and onboard cruise teams — proactively communicating status updates and resolving discrepancies in a timely manner.
- Coordinate consolidation shipments to cruise ships, including load planning, cut-off management, and last-mile coordination with port and vessel teams.
- Monitor carrier performance and flag recurring service issues to the Logistics Manager for vendor review.
Documentation & Compliance
- Prepare, review, and maintain a full suite of shipping documentation including bills of lading, commercial invoices, shipper's letters of instruction (SLIs), packing lists, and customs entry paperwork.
- Ensure all shipments comply with applicable international trade regulations, import/export laws, and carrier requirements across all operating regions.
- Review and approve carrier and vendor invoices, verifying accuracy against contracted rates and services rendered; escalate billing discrepancies for resolution.
- Maintain organized and audit-ready records for all shipments, documentation, and compliance filings.
- Stay current on changes to customs regulations, tariff classifications, and trade compliance requirements that may affect duty-free operations.
Supply Chain Management
- Support the planning and scheduling of replenishment shipments, collaborating with the Merchandise and Buying teams to align inventory needs with logistics timelines.
- Solicit and evaluate freight quotes from multiple carriers and freight forwarders, providing cost analysis to assist with budget planning and carrier selection.
- Track, compile, and report logistics KPIs — including on-time delivery rates, freight costs, and lead times — to the Logistics Director on a recurring basis.
- Plan and coordinate reverse logistics operations, including the return of unsold or damaged goods, working closely with 3PL partners to ensure efficient and cost-effective execution.
- Identify opportunities to streamline logistics processes, reduce costs, and improve delivery performance.
Cross-Functional Collaboration
- Partner closely with internal teams — including Merchandising, Buying, Finance, and Cruise Operations — to align logistics activities with broader business priorities and seasonal demands.
- Serve as a logistics subject-matter resource for cross-functional projects, providing operational input on timelines, cost implications, and feasibility.
- Communicate proactively with internal stakeholders on shipment status, potential disruptions, and resolution plans to minimize business impact.
- Support colleagues and contribute to ad hoc projects, continuous improvement initiatives, and special assignments as directed by the Logistics Manager.
Issue Resolution & Quality Control
- Proactively identify, investigate, and resolve shipment exceptions, supply chain disruptions, and operational discrepancies with a solutions-first mindset.
- Review ship supply checklists for accuracy and completeness; flag and follow up on discrepancies with relevant teams before delivery windows close.
- Maintain a working log of recurring issues and contribute to root cause analysis and corrective action planning.
Qualifications
- Bachelor's degree in Supply Chain Management, Business Administration, Logistics, or a related field (or equivalent professional experience).
- 2–5 years of progressive logistics or supply chain experience, ideally within retail, duty-free, or cruise/maritime environments.
- Strong working knowledge of international shipping processes, freight modes (air, ocean, ground), customs regulations, and import/export documentation.
- Experience working with 3PL partners, freight forwarders, and customs brokers across multiple trade lanes.
- Proficiency in logistics management systems, TMS platforms, or ERP systems; strong Excel skills required.
- Excellent organizational skills with the ability to manage multiple priorities in a fast-paced, deadline-driven environment.
- Strong written and verbal communication skills, with the ability to collaborate effectively across internal teams and external partners.
- A proactive, problem-solving mindset with keen attention to detail and a commitment to operational excellence.
