Project Coordinator (Contract)
Location: Charlotte, NC (Hybrid - Tuesday through Thursday onsite; Monday and Friday remote)
Schedule: Monday-Friday, 8:00 AM-5:00 PM EST
Duration: Contract role (approximately 4 months)

Overview
We are seeking a detail-oriented Project Coordinator to support the transition of new and expanded integrated facilities management accounts. This role focuses heavily on supplier onboarding, procurement support, compliance coordination, and Excel-based data management. The ideal candidate brings strong administrative skills, excellent communication, and the ability to manage large volumes of data in a fast-paced, deadline-driven environment.
Key Responsibilities
Administrative & Data Support
- Support internal teams with supplier onboarding activities, including data entry and management within sourcing and procurement platforms
- Assist in preparing vendor information packets and required documentation
- Manage large datasets and generate reports and dashboards using advanced Excel functions (e.g., VLOOKUPs, pivot tables, duplicate checks)
- Complete bulk upload templates using compiled transition data
- Maintain accurate supplier files to ensure compliance with internal and client requirements
- Support due diligence activities related to supplier onboarding and system administration
Communication & Coordination
- Research and obtain missing vendor contact information using internal systems and external resources
- Manage phone and email communication with vendors and internal stakeholders, escalating issues as needed
- Conduct regular follow-up with assigned vendors throughout the onboarding and transition process
- Support vendors with registration processes and troubleshoot system-related issues
- Collaborate closely with cross-functional internal and external partners
- Independently identify and resolve issues to support a smooth transition process
Compliance Support
- Ensure adherence to sourcing, contracting, and compliance policies and procedures
- Track correspondence and approvals by maintaining detailed and accurate records
- Support the collection, tracking, and resolution of compliance documentation such as Certificates of Insurance and rate information
Qualifications & Skills
- Strong written, verbal, and interpersonal communication skills
- Excellent organizational and multitasking abilities with strong attention to detail
- Proven ability to prioritize work and manage multiple projects with varying timelines
- Advanced proficiency in Microsoft Excel (including VLOOKUPs and pivot tables)
- Strong analytical skills with experience creating reports and dashboards
- Ability to work effectively in time-sensitive environments and escalate issues appropriately
Preferred Experience
- Experience with supplier onboarding, procurement coordination, or compliance support
- Exposure to sourcing, procurement, or facilities-related systems and tools
- Comfort working in Excel-heavy, data-driven roles
- Customer service or vendor-facing experience
Additional Attributes
- Ability to learn processes and systems quickly with minimal formal training
- Adaptable and comfortable working in evolving, change-driven environments
- Process-improvement mindset with a focus on efficiency and accuracy
- Bilingual (French) is a plus
