We are looking for a
Project Manager who is passionate about people, projects, and pitches, to mainly support our Business Development team. This role will be working out of our NY office Tuesdays-Thursdays.
Responsibilities
- Act as the central point of communication across all cross-functional teams on a new business pitch.
- Plan, coordinate, manage and facilitate the workflows of a pitch to ensure completion on time and within investment budget.
- Manage concurrent fast-paced pitches across brand/campaign, media and experiential opportunities.
- Develop processes that help work to be executed at the highest quality standards.
- Develop project timelines based on pitch milestones and team bandwidth realities.
- Manage timeline shifts and the impact to workstreams, including maintaining internal communications to make sure work is on schedule and stays on track.
- Coordinate internal pitch meetings and reviews, ensuring clear next steps for all team members.
- Assist with building and updating introductory credentials decks for new business opportunities.
- Help team members prioritize workloads to meet deadlines.
- Ensure the integration of other departments and resources at necessary milestones during the pitch process (e.g. production, business & legal affairs, etc).
- Work with internal teams (account, strategy, production, creative) to project manage the development of case study slides & case study videos, as relevant, post the completion of client projects, to help support in new business efforts.
- Monitor and enforce project constraints (schedule / scope / resources), raising issues to VP Operations as needed.
- Liaises with Resourcing/Ops lead on all upcoming pitch needs, proactively communicating upcoming requests with clarity and specificity.
- Work closely with Account and Finance teams on SOW and staff plan development when pitches convert to project wins.
- Support the reconciliation of staff hours and related fees to understand pitch investment and learnings for future pitch projects.
- Own the administrative setup required to establish pitch projects within our systems.
- Maintain upkeep of pitchfolders and Slack channels.
- Leverage project management platforms or other tools/systems for project organization (Asana, RACI charts, hot sheets, etc).
- Project manage internal Giant Spoon initiatives or other Giant Spoon Clients when needed.
- Keep teams highly motivated.
Requirements
- 2+ years of hands-on project management experience at a creative agency.
- An interest in agency new business/growth.
- Ability to effectively prioritize tasks and be resourceful, flexible and quick to adapt in a fast-paced environment.
- High EQ and the ability to read what a team needs to be happy and productive.
- Problem solving skills - anticipates issues and proactively comes up with solutions.
- Acute attention to detail.
- Ability to collaborate creatively across departments and offices.
- Ability to foster trusting relationships with teammates and clients.
- Effective written, verbal, and visual communicator.
- Genuine desire to learn.
- Proficient in Google Suite, Slack and Microsoft Office.
- Experience with project management software like Asana, a plus.
The anticipated annual salary range for this position is $75,000-$100,000. Salary is determined based on a wide range of factors, including relevant experience, knowledge, skills, job duties, and geographic location.
