Overview:
Our client is a growing wealth management firm in an exciting stage of scale and refinement. Over the past year, they have invested in the right technology, clarified workflows, and built strong foundational processes for client onboarding, reviews, and internal operations. They are ready to bring on an Operations Coordinator to help keep those systems running smoothly, provide day-to-day oversight of workflow, and ensure the firm continues to operate efficiently as they grow.
This is an ideal role for someone with a few years of experience in financial services operations who is not yet managing a large team or office—but who wants to grow into broader responsibility over time. You won’t be building processes from scratch; instead, you’ll be helping turn the crank on systems already in place, offering feedback, making refinements, and ensuring execution stays on track. This firm is a small, tight-knit team focused on growth, execution, and building something meaningful together.
Key Responsibilities:
Operations & Workflow Management:
- Oversee daily operational workflow across client onboarding, paperwork, and internal processes
- Act as the primary liaison between Advisors, the Paraplanner, and the Administrative Assistant
- Set daily priorities, monitor progress, and ensure tasks move forward efficiently
- Conduct quick daily check-ins to confirm status, identify bottlenecks, and clarify next steps
- Provide real-time feedback and follow-up to ensure paperwork is completed, signed, and submitted accurately
Administrative Oversight:
- Manage and prioritize application and paperwork queues
- Supervise an Administrative Assistant by setting priorities and reviewing status
- Track outstanding items and coordinate follow-up when client action is needed (e.g., missing signatures)
Office & Administrative Operations:
- Handle day-to-day operational needs such as parking setup, building coordination, facilities requests, and general office logistics
- Serve as the operational point person connecting with the marketing team (e.g., coordinating payments for events, mailers, welcome kits)
- Track high-level operational follow-through on marketing and client initiatives (no sales responsibilities)
Systems & Tools:
- Maintain and monitor CRM workflows and operational systems
- Ensure proper use of DocuSign and documentation tools
- Use Microsoft Office for tracking, reporting, and communication
- Support and reinforce workflows across the team
Qualifications:
- 2–5+ years of experience in financial services operations, client service, or paperwork-heavy roles (RIA, broker-dealer, insurance, or similar environments)
- Experience working with Advisors and understanding financial services terminology
- Comfortable operating in fast-paced, high-accountability environments
- Proven ability to manage priorities, follow through, and keep multiple workflows moving
- CRM experience required
- Strong organizational skills and attention to detail
- Well-spoken with excellent grammar and professionalism
