Position Title: Transportation Coordinator

Reports To: Logistics and Customer Service Manager

Salary: $50,000 - $65,000 DOE
Classification: Full-Time Salary Non-Exempt
Position Overview
The Transportation Coordinator is a highly organized and self-sufficient individual responsible for planning, coordinating, and executing outbound and inbound transportation activities to ensure timely, cost-effective, and compliant movement of products. This role serves as a key liaison between internal teams, warehouses, carriers, and customers, supporting daily execution while maintaining visibility, accuracy, and proactive communication across all shipments.
This position is detail-oriented, customer-focused, fast-paced, and highly collaborative, with a strong focus on execution, problem-solving, and continuous improvement.
Key Responsibilities
· Coordinate daily inbound and outbound shipments across multiple modes (FTL, LTL, parcel, intermodal, etc.)
· Tender loads to approved carriers and confirm acceptance, rates, and pickup/delivery details.
· Creates spot quote requests, selects cost-effective carriers, and ensures timely delivery of customer orders.
· Track order and shipment progress from order entry through delivery.
· Identify, track, and resolve shipment discrepancies with accuracy, empathy, and urgency.
· Respond promptly, professionally, and warmly to customer delivery inquiries via email, phone, and chat in accordance with company service standards.
· Schedule pickups, deliveries, and warehouse appointments as required.
· Prepare and manage shipping documentation including BOLs, packing lists, and delivery instructions.
· Serve as a primary point of contact for carriers, warehouses, and 3PL partners.
· Proactively communicate shipment status, delays, and exceptions.
· Support carrier relationship management through clear communication and issue resolution
· Monitor in-transit shipments and provide real-time updates as needed
· Troubleshoot delivery issues, delays, shortages, damages, or missed appointments.
· Escalate critical issues appropriately and support root-cause analysis.
· Provides communication of service issues to appropriate personnel and departments, both internal (Jones) and external (Customer).
· Maintain accurate shipment records, rate confirmations, and tracking details in TMS/ERP systems.
· Support freight invoice review and validation against agreed rates.
· Ensure compliance with company transportation policies and customer requirements.
· Collaborate closely with Customer Service, Warehouse Operations, Sales, and Finance
· Support high volume/ special programs, customer rollouts, promotions, or peak volume periods as needed
· Contribute to process improvements, documentation, and execution planning
Qualifications and Experience
· 2+ years of experience in transportation, logistics, supply chain, or freight coordination
· Working knowledge of freight modes, carrier operations, and transportation terminology
· Experience working with TMS, ERP systems, and freight platforms preferred
· Strong organizational skills with the ability to manage multiple shipments simultaneously
· Excellent communication skills (written and verbal)
· High attention to detail and strong follow-through
· Comfortable working in a fast-paced, deadline-driven environment
· Results-driven, self-motivated professional
Preferred Skills
· Experience coordinating shipments for food & beverage and/ or CPG industries
· Familiarity with appointment-based deliveries and retailer compliance
· Excel proficiency for tracking and reporting
· Problem-solver mindset with a calm, solutions-oriented approach
