The Project Coordinator will identify and understand customer project requirements and communicate these requirements to the company. This person will organize, plan, and coordinate efforts of various departments within the company in the execution of customers’ projects.
Essential JOB DUTIES
- Project Planning & Scheduling: Assist in defining project scope, goals and deliverables. Develop and maintain project schedules, timelines and task assignments. Schedule and coordinate timely delivery of finished goods.
- Project Goals: Attend production meetings, identify, and communicate project goals and requirements; coordinates efforts of supporting departments (i.e. Sales, Pre-press, Production, Shipping, Accounting, and Quality Assurance). Monitor the progress of customer projects from initial receipt through phases of production planning, manufacturing, shipping, and after-sale service. Focus on achieving on-time delivery, product quality, and total customer satisfaction.
- Communication Management: Act as the main point of contact for project updates, proving regular reports on progress, risks and milestones. Serve as primary point-of-contact for all customer needs and inquiries. Communicate regularly with production personnel to ensure that projects are completed and shipped within the timeframe established with the customers. Coordinate project approval process (sending and receipt of color proofs and CAD samples to/from the customer, inspection of samples and color proofs for errors or flaws prior to sending to customer). Use ERP system in the management of customer projects.
- Documentation: Document customer complaints with nonconformance reports, provide customers with prompt resolution, update senior management on key customer feedback. Maintain and update customer files, records, data, and other project-related documents.
- Risk & Issue Tracking: Identify potential risks and project blockers. Collaborate with the project manager to implement mitigation strategies and escalate issues when necessary.
- Budget & Expense Monitoring: Track project expenses and budgets to ensure alignment with financial goals.
- Quality Control: Understand the service history of customers to provide tailored customer support.
- Process Improvement: Continuously seek opportunities to improve project management processes and tools to increase efficiency.

The appropriate knowledge, skills and abilities required for this position are achievable through the following combination of education, work experience and training:
- BA/BS Degree in business or applicable field desired.
- Two (2) or more years of work experience in a fast-paced customer service or similar work environment; or
- Any combination of experience, education, and training that provides the level of knowledge, skills, and experience needed to successfully perform the job.
PHYSICAL DEMANDS & WORKING CONDITIONS
The essential functions of this job require the employee to perform the following physical activities during work:
- Required to stand, walk, and sit for extended periods of time during the course of the work shift.
- Required to regularly stoop, bend, kneel, lift, and reach, in the performance of this role.
- Required the use of hands, speech and hearing, and use of feet to operate machinery/equipment; Agility to operate and frequently be exposed to moving mechanical parts.
- Lifting requirements: 25-35 lbs.; and the ability to move/push up to 25 lbs.
- The noise level in this work environment may be moderate to high.
- Occasionally exposed to high, precarious places, fumes, or airborne particles, outside weather conditions.
- PPErequirements: Regular use of safety glasses, standard ear plugs, masks, safety shoes, and gloves.
