Job Summary
The Project Coordinator’s main responsibilities involve handling operational tasks for the Project and Program manager. The PC supports the planning, execution and monitoring or controlling of projects to successfully realize the intended benefits. US PMO responsibilities includes being a system admin for Project Portfolio Management tool (Asana)
Major Accountabilities/Responsibilities
Setting project or program planning baseline
Support the Project and/or Program Manager in the design and implementation of a robust baseline plan to ensure a project is delivered on an agreed scope, time and budget requirements.
Program or project budgeting and resourcing
Partner with Finance on behalf of the Program or Project Managers to manage financial processes, monitor the program/project budget and assist with resource scheduling in line with the baseline plan and UCB Financial Cycles.
Apply project management processes throughout the project/program duration (e.g. planning
update, roadmap, governance, data repository, ...) Executing programs and projects
Project Coordinators may be asked to coordinate aspects of certain projects with appropriate
support, including Patient Engagement work or Methods and Standards Development.
Use UCB’s project processes (e.g., risk management, stakeholder management), reporting and
PMM Tool technology such as Asana, SharePoint, MS Teams, Launch Tracker and CRM system. Measuring program and project performance
Monitor program and project data quality and performance including KPIs, in line with UCB
processes and standards. Build, maintain and track progress against consolidated global program
and project plans and schedules (including resource allocation, budgeting and overall milestones).
Apply relevant knowledge
Build, apply and share knowledge and skills across the organization. The knowledge and skills can include biopharma and healthcare industry-knowledge, or rather function-specific skills (e.g.
commercial, operations, research, quality, …).

Participate in UCB’s project management community
Share best practices (initiate, plan, execute, monitor/control, close) across the UCB PM network
Minimum Experience/Skills Required
Education: A bachelors degree in business administration, management, or a related field is often required. An associate degree with relevant experience of more than 3 years
Experience: Minimum of 2 years previous experience in project management or a related field is
usually necessary. This could include internships, part-time jobs, or full-time positions.
Skills: Strong organizational, communication, and interpersonal skills are essential. Proficiency in
project management software and tools, such as Microsoft Project or Asana, is often required.
Additionally, problem-solving abilities and attention to detail are crucial.
Certifications: While not always mandatory, certifications such as PMP (Project Management
Professional) or CAPM (Certified associate in project management) can be beneficial and
sometimes preferred by employers.
Knowledge: Understanding project management methodologies, such as Agile or Waterfall, is
important. Familiarity with budgeting, scheduling, and resource allocation is also valuable.
Other Requirements: The ability to work well under pressure, manage multiple tasks simultaneously, and meet deadlines is often required. Strong teamwork and leadership skills are also important.
