Position Summary:
The Senior Logistics & Order Management Specialist is responsible for supporting the end-to-end flow of customer orders with a focus on retailer routing compliance, and warehouse quality assurance. This role partners closely with 3PL partners, Transportation, Sales, and Planning teams to ensure accurate order execution, on-time routing submissions, and product integrity at the point of warehouse receipt and shipment.
This position is well-suited for someone with hands-on logistics or operations experience who understands retailer compliance requirements and warehouse QA processes in a high-volume, fast-paced environment.
Key Responsibilities:
Operations & Order Management
- Support the daily order-to-delivery process for B2B wholesale and retail accounts, ensuring timely and accurate fulfillment across all order types.
- Process and track customer orders from receipt through final delivery, ensuring key milestones are met and communicated to internal stakeholders and accounts.
- Maintain accurate customer account details, ship-to profiles, routing guides, and order instructions within internal systems (ERP/WMS).
- Track and communicate ship windows, cancel dates, and in-DC dates for all orders; escalate exceptions promptly to prevent compliance violations.
- Serve as the primary contact for order-related inquiries from Sales, Account Managers, customers, and internal teams.
- Coordinate order changes, expedite requests, cancellations, and exception handling.
- Develop and maintain Standard Operating Procedures (SOPs) for retailer-specific routing operations, including labeling, packing, and compliance requirements.
Order Routing Management
- Manage the end-to-end routing process for all accounts, ensuring routing requests are submitted accurately and on time per each retailer’s vendor compliance guide and routing portal requirements (e.g., Retail Link, POL, Amazon Vendor Central etc)
- Coordinate with account managers and internal teams to gather all required order details—including ship windows, freight terms, carrier instructions, carton counts, and destination DC information—prior to submitting routing requests.
- Monitor routing confirmations, track carrier appointments and BOL generation, and proactively resolve routing errors, rejections, or compliance violations to prevent chargebacks and shipment delays. Maintain a compliance log tracking violation root causes and corrective actions.
- Maintain accurate routing records and documentation, and develop SOPs to standardize the routing process across all accounts to ensure consistency and minimize errors.
Warehouse Quality Assurance (QA)
- Coordinate with the 3PL warehouse team to conduct inbound QA inspections on receipts, verifying product count accuracy, unit condition, carton integrity, and label/UPC compliance against purchase order specifications.
- Ensure outbound order QA checks are completed prior to shipment, confirming correct units, quantities, retailer-specific prep requirements (e.g., hangtags, stickers, poly-bagging), and routing label accuracy.
- Maintain QA logs and support periodic warehouse audits; partner with Operations and the 3PL to implement corrective action plans when QA thresholds are not met.
- Ensure all outbound shipments meet retailer vendor compliance requirements, including labeling (GS1, UPC, carton marks), packing specifications, EDI transmission accuracy, and ASN timeliness.
- Support B2B accounts with shipment inquiries, compliance disputes, and chargeback deductions; research root causes and coordinate resolutions with 3PL and Finance.
- This role is expected to maintain a regular physical presence at the warehouse/3PL facility, including on-site visits a minimum of 2x per week in Commerce, California, to support QA inspections, shipment audits, operational troubleshooting, and cross-functional coordination
This Could Be You If:
- Associate’s or Bachelor’s degree preferred; equivalent work experience in logistics, supply chain, or operations will be considered.
- Minimum 2–4 years of experience in logistics, order management, or supply chain operations, with exposure to retailer routing compliance or warehouse QA processes preferred.
- Solid data entry skills with strong attention to detail; experience working in ERP, WMS, or order management systems (e.g., NetSuite, SAP, Manhattan).
- Strong written and verbal communication skills; ability to work cross-functionally with warehouse, transportation, sales, planning, and finance teams.
- Familiarity with retailer routing portals and vendor compliance guides (e.g., Walmart Retail Link, Target Partners Online, SPS Commerce, or similar).
- Understanding of domestic freight and fulfillment operations, including carrier routing, BOL management, and shipment tracking from warehouse to final delivery.
- Experience conducting or coordinating warehouse QA inspections, including inbound receiving checks and pre-shipment audits, is a plus.
- Proficient in Microsoft Office (Excel, Outlook); comfortable working with data and building basic reports or trackers to monitor order and compliance metrics.
- Strong problem-solving skills with the ability to manage competing priorities and adapt quickly in a fast-moving logistics environment.
- Excellent cross-functional communication skills; ability to collaborate effectively with warehouse, transportation, sales, and finance teams.
- Ability to work in a fast-paced environment with shifting priorities; comfortable managing multiple open orders, deadlines, and stakeholder needs simultaneously.

The salary range for this role is $32.00 - $40.00 hourly, plus eligible for an annual target bonus prorated from the start date. This is the lowest to highest salary we in good faith, believe we would pay for this role at the time of this posting. An employee’s pay position within the wage range will be based on several factors including, but limited to, relevant education, qualifications, certifications, experience, skills, seniority, geographic location, performance, sales or revenue-based metrics, and business or organizational needs. This compensation range may also be modified in the future.
