KM Digital is a creative and strategic agency built around relationships, execution, and long-term partnership. Over the last 14 years, we’ve grown from a two-person operation into a multi-entity business spanning digital marketing, media, consulting, venture initiatives, and strategic partnerships.
We are looking for an organized, curious, and dependable client-facing team member to support in keeping projects, clients, and internal initiatives moving forward. You will work alongside our project lead to keep work on track, manage smaller projects, catch the small things before they become big things, and help translate plans into completed work.
This Role (Why This Position Exists)
This role exists to extend our capacity and develop someone into a strong operational contributor over time.
You’ll support our project lead by keeping 6 to 12 active projects organized across clients, internal initiatives, and vendors. You’ll turn meetings into action items, keep Basecamp current, follow up on approvals, and help small tasks cross the finish line.
You’ll occasionally email clients for scheduling, follow-ups, and approvals. Templates will be provided, and we’ll coach you on tone and process.
What You'll Do:
Project Coordination Support
- Help maintain project plans, task lists, and timelines
- Track deliverables and deadlines so nothing falls through the cracks
- Update Basecamp and shared documents as work progresses
- Coordinate small handoffs between team members, clients, and vendors
- Maintain visibility on status across active work and raise questions early
Communication and Follow-Through
- Help prepare meeting agendas, notes, and follow-up action items
- Turn meeting notes into clear tasks with owners and due dates
- Send reminders and check-ins to keep approvals and deliverables moving
- Document decisions and next steps as projects evolve
- Support clear, consistent communication across internal teams and external partners
Systems and Organization
- Keep project files, folders, and trackers organized and up to date
- Support refining lightweight workflows and templates
- Help maintain operational clarity across active projects
General Support
- Assist with research, scheduling, and coordination tasks as needed
- Help prepare briefs, assets, or materials that keep projects moving
- Step in on small tasks that free up the team to focus on higher-value work
Example Weekly Tasks
- After client calls, post recap notes and next steps in Basecamp and assign task owners
- Follow up on pending approvals (copy, photos, designs, scheduling) to keep work moving
- Coordinate handoffs between our team and vendors (print, signage, installs, contractors)
- Keep project folders organized and ensure assets are named correctly and easy to find
- Build and maintain a short weekly priorities list for the project lead
- Create and maintain simple trackers (deadlines, deliverables, meeting schedule)
What Success Looks Like:
In 30 Days
- You capture meeting notes, post action items in Basecamp, and assign owners without hand-holding
- You keep task lists accurate so the team always knows what’s next
- You follow up on missing approvals and assets so work does not stall
In 90 Days
- You independently own small projects end-to-end from kickoff to delivery
- You spot risks early (missing info, unclear owners, timeline slips) and raise them proactively
- You can produce a simple weekly status snapshot for active accounts

Who You Are
- 0 to 2 years of experience in coordination, administrative support, internships, or a related role (recent graduates welcome)
- Strong organizational skills and attention to detail
- Clear written and verbal communication
- Proactive, dependable, and comfortable asking questions
- Familiarity with Google Workspace and openness to learning Basecamp and AI tools
- Agency, marketing, or creative environment exposure is a plus, not required

Compensation and Schedule
- Part-time, approximately 20 hours per week for the first 3 months, with an on-ramp to full-time after a joint evaluation
- $20-$25 per hour, based on experience
