Role Description
This is a full-time, on-site role located in Edwardsville, IL. As the Operations & Fleet Specialist, you will serve as the backbone of our daily in-office operations, working directly alongside and supporting the VP of Operations. This role is critical to ensuring our fleet runs smoothly, our drivers are efficiently dispatched, and our high standards for safety and reliability are maintained.
While your primary base is in the office managing dispatch and logistics, this is a dynamic, hands-on role. You will seamlessly bridge the gap between office operations and fleet maintenance—handling minor vehicle repairs yourself, negotiating with external repair shops, and hitting the road to provide on-site assistance to drivers or riders whenever needed.
Key Responsibilities
VP Support: Assist the VP of Operations with daily administrative tasks, reporting, and operational problem-solving.
Dispatch & Route Coordination: Manage daily dispatching, optimize schedules, and monitor real-time GPS tracking to ensure punctual client pickups and efficient routing.
Fleet Maintenance & Minor Repair: Schedule routine maintenance, diagnose basic vehicle issues, and perform minor on-site repairs (like wipers, bulbs, and fluids) to minimize vehicle downtime.
Vendor & Repair Negotiation: Act as the primary point of contact for external mechanic shops; review estimates and negotiate pricing to ensure cost-effective service.
Safety & Compliance: Oversee pre-trip and post-trip vehicle safety inspection logs; ensure all onboard equipment (GPS, video monitoring, first aid kits) is functional.
Driver & Field Support: Serve as the primary point of contact for drivers on the road. Travel on-site to assist with vehicle issues, transport drivers, or personally transport riders as needed.
Client & Facility Liaison: Handle incoming logistics calls from medical facilities, clients, and partners with the utmost professionalism.
Qualifications
Logistics & Dispatch Experience: Minimum of 1–2 years of experience in dispatching, routing, or logistics coordination.
Automotive Maintenance & Repair (Huge Plus): Practical, hands-on experience with automotive mechanics. Ability to safely perform minor repairs and evaluate external mechanic quotes.
Problem-Solving & Adaptability: Ability to think fast on your feet to resolve scheduling conflicts, traffic delays, or vehicle issues in real time, shifting from office to field work seamlessly.
Driver’s License & Clean Record: Must possess a valid driver’s license with a clean driving record.
Pre-Employment Screening: Must be able to successfully pass a comprehensive background check and drug test.
First Aid / CPR Certification: Current certification is preferred; must be willing to obtain certification upon hire if not already certified.
Local Knowledge: Familiarity with the St. Louis metro area, metro-east, and Southern Illinois geography is highly preferred.
