Summary
This is an excellent opportunity to join the North American division of a green (raw) coffee trading company called Falcon Coffees. We buy green coffee from coffee farmers around the world and sell it to coffee roasters throughout North America. We have offices in England, Ethiopia, Germany, Malaysia, Peru, Korea, and Austin TX. The Austin office was established in 2017 and over the past 9 years we've built up a team of sales, logistics, quality, and sustainability professionals. We have a very dynamic and fun team, and our office is based in the heart of East Austin. We've seen significant growth and are looking to add a Logistics Coordinator to help support our specialty sales and logistics teams. The focus of this role is to manage inbound coffee shipments into the USA and outbound coffee deliveries to our roaster clients.
Primary responsibilities
• Monitoring inbound green coffee shipments and communicating status with roaster clients and sales team.
• Processing customer order requests and making logistics arrangements for deliveries and collections.
• Invoicing clients and chasing overdue invoices when new orders are placed.
• Monitoring delivery order progress to spot and prevent delays.
• Dealing with delivery issues and delays in quick and effective ways.
• Arranging warehouse to warehouse transfers for clients as needed.
• Requesting arrival/landed samples to be sent to clients and our office.
• Working closely with the finance team and monitoring receivables from buyers.
• Maintaining good and productive relationships with haulage and warehouse partners.
• Maintaining high standard of customer service when responding to customer enquiries, providing quotations and updating about progress of deliveries.
Secondary responsibilities
• Check third party invoices, compared to rate agreements and upload to internal system for payment.
• Issuing Credit and Debit notes to clients or service partners.
• Oversee storage, landing and warehousing of green coffee.
• Liaise with customs brokers to ensure a smooth customs clearance process.
• Run weekly logistics reports.
Person Specification/Essential
• Highly organized and motivated
• Ability to problem solve and work independently
• Fluent in English
• Self-starter and able to work independently as well as in a team.
• Customer service skills and/or experience in a customer-facing role
• Role not eligible for Visa sponsorship. Must have legal authorization to work in the U.S.
