Position Summary
The Supply Chain Coordinator supports the Supply Chain Specialist in ensuring the timely availability of products and materials for two resorts. This role focuses on the operational execution of demand planning, procurement, logistics coordination, and supplier communication to maintain smooth supply chain processes and cost efficiency.
Key Responsibilities
Demand Planning & Forecast Support
- Assist in collecting and organizing product demand data across multiple categories (Food & Beverage, housekeeping, animation, sport, maintenance, OS&E).
- Track seasonality, occupancy rates, and historical usage to aid forecasting accuracy.
Procurement & Purchase Order (PO) Management
- Prepare and process purchase orders in COUPA, ensuring data accuracy (product specifications, quantities, prices, delivery dates).
- Liaise with suppliers to confirm order details and timelines.
- Assist in sourcing quotations for non-referenced products
- Maintain PO tracking and communicate status updates to resort teams.
- Resolve basic PO discrepancies and escalate complex issues as needed.
Logistics Coordination
- Support shipment arrangements with freight forwarders, shipping lines, and customs brokers for imported goods.
- Prepare and manage shipping documentation (packing lists, invoices, custom compliant documents)
- Monitor shipment tracking and report delays or customs clearance issues.
- Coordinate arrivals to align with resort operational requirements.
Cost & Data Management
- Maintain accurate data on logistics charges and supplier costs in coordination with the Supply Chain Specialist.
- Assist in compiling and analyzing cost and KPI reports using Power BI.
Resort & Supplier Communication
- Serve as an operational contact point for resorts, providing timely updates on PO and shipment status.
- Escalate supply concerns promptly to the Supply Chain Specialist.
Administrative & Reporting Support
- Update databases, procurement systems, and tracking tools regularly.
- Prepare standard supply chain reports and dashboards.
Qualifications
- Bachelor’s degree in supply chain management, Business Administration, or related field preferred.
- 2 years’ experience in procurement, logistics, or supply chain administration (hospitality, retail, or FMCG experience a plus).
- Proficiency with ERP systems and Microsoft Excel.
- Strong attention to detail and organizational skills.
- Good communication and interpersonal skills.
Work Environment
Office-based in Miami regional office, with occasional interaction with resort teams, suppliers, freight agents, and internal departments.
Up to 10% travel may be required to resorts or logistics hubs.
