This role will support our work on multiple clients, requiring strong operational discipline, documentation, and coordination across events, mentorship, and reporting.
Role OverviewWe’re seeking a Junior Project Manager to support the day-to-day coordination of active client projects. This role is critical to keeping timelines on track, managing communication flow, and ensuring deliverables move smoothly from planning to execution.
The ideal candidate is detail-oriented, highly organized, comfortable following structured processes, and confident coordinating across multiple stakeholders. This role works closely with senior leadership and will be essential to keeping the programs running smoothly and ensuring work is properly documented. The goal is to be the connective tissue between internal teams, external collaborators, and clients.
Key ResponsibilitiesProgram & Operations Management- Maintain & track client program calendar, timelines, and delivery cadence
- Track milestones, deliverables, and deadlines across events, mentorship, and reporting
- Support admin and operations for pilot events, and executions (ie. Enter event data, attendance lists, and mentor participation consistently and on time)
- Flag risks, gaps, or delays early and escalate to senior leadership as needed
- Track documentation required for invoices and monthly compliance
Event & Mentorship Coordination- Maintain & track client program calendar, timelines, and delivery cadence
- Coordinate logistics for virtual and in-person events (scheduling, run-of-show, materials)
- Support coordination for focus groups, events, and 1:1 engagement
Documentation & Communication- Maintain organized shared folders and version control for program materials
- Prepare agendas, notes, and follow-ups for internal and client meetings
- Draft clear, professional written communications and summaries
- Ensure information flows smoothly between internal teams and clients
- Schedule and coordinate meetings, workshops, interviews, and working sessions
Operational Support- Assist with onboarding collaborators or consultants
- Help manage workflows between strategy, research, creative, and production partners
- Support process improvements that make the team more efficient and aligned
Ideal Candidate ProfileSkills & Experience- 2-5+ years of experience in project coordination, operations, or account support (agency, nonprofit, cultural org, or startup experience a plus)
- Strong organizational and time-management skills
- Excellent written communication and editing skills
- Comfortable managing multiple timelines and stakeholders at once
- Proactive, detail-oriented, and solutions-focused
- Confident communicator with clients and collaborators
Tools & Working Style- Comfortable with Google Workspace (Docs, Sheets, Calendar)
- Experience in managing project management tools (Asana, Monday, Airtable, Notion, etc.)
- Ability to work independently, ask clarifying questions, and follow through
- Reliable follow-through, calm under pressure, and proactive about asking questions
Bonus (Not Required)- Experience in arts, culture, or creative industries
- Interest in cultural strategy, community-centered work, or experiential projects
