Construction Project Coordinator / Estimating & Project Management Administrator
Job Summary
The Construction Project Coordinator provides administrative and operational support to the Estimating and Project Management teams. This role is critical to maintaining project documentation, coordinating communication with subcontractors and bidders, and ensuring accurate, timely processing of project-related information throughout the preconstruction and construction phases.
The ideal candidate is highly organized, detail-oriented, comfortable working in a fast-paced construction environment, and able to manage multiple priorities simultaneously.
Key Responsibilities
Estimating Support
- Assist the estimating team with bid preparation and document management
- Distribute bid invitations and communicate with subcontractors and vendors
- Track bidder participation and follow up as needed
- Organize and maintain bid documents, scopes, and pricing information
- Assist with bid tabulations and proposal assembly
Project Management Support
- Prepare, process, and track Change Orders, including pricing documentation and approvals
- Log, distribute, and track RFIs (Requests for Information)
- Log, review for completeness, distribute, and track Submittals and shop drawings
- Maintain accurate project logs, records, and correspondence
- Assist Project Managers with contract documentation and project setup
Communication & Coordination
- Serve as a point of contact for subcontractors, suppliers, and internal team members
- Coordinate document flow between field staff, project managers, architects, engineers, and owners
- Ensure timely follow-up on outstanding RFIs, submittals, and change requests
- Maintain professional, clear, and organized written communication
Document Control & Administration
- Maintain electronic and physical project files in accordance with company standards
- Ensure version control and proper distribution of construction documents
- Assist with meeting minutes, schedules, and reporting as needed
- Support compliance with contract requirements and internal procedures
Qualifications
Required
- 2+ years of administrative experience in construction, engineering, or a related field
- Strong organizational and time-management skills
- Excellent written and verbal communication skills
- Proficiency in Microsoft Office (Word, Excel, Outlook)
- Ability to manage multiple projects and deadlines simultaneously
Preferred
- Experience with construction management software (e.g., Autodesk, Construct Connect, Procore, PlanGrid, Bluebeam, Buildertrend, Sage, or similar)
- Familiarity with construction documents, drawings, and specifications
- Understanding of change order and RFI processes
- Prior experience supporting estimating or project management teams

Job Type: Full-time
Pay: $40,000.00 - $55,000.00 per year
