About the Role
We are seeking a highly organized and tech-savvy individual to join our growing team who will be responsible for streamlining and overseeing operations across the entire agency. Additionally, this person will lead on managing Sage’s client relationships database (HubSpot), assisting with project management, and supporting a variety of internal initiatives. This role is essential in helping us stay aligned with strategic priorities and ensure smooth day-to-day operations across all departments. Someone with strong communication skills and attention to detail is a must.
This role reports directly to the Partners and is based in the Washington, D.C. area. While it will primarily be remote, some in-person meetings are required.
Success in This Role
This role is designed for someone who has a knack for organizing projects and enjoys learning and leveraging technology. This person needs to know how to adapt and fluctuate between different working styles to support the Partners and the team in differing capacities. Additionally, someone who is a proficient and proactive communicator (both verbal and written, internal and external) will thrive in this position.
Some of the day-to-day responsibilities include:
Overseeing Backend Operations and Increasing Efficiency:
● Support the Partners directly with day-to-day operations of the agency and oversee special projects.
● Work with HR/accounting firm and other vendors to manage company operations including business and health insurance, compliance, and backend systems.
● Engage with team members to identify areas for improvement, suggesting and supporting the implementation of new systems, tools, or processes where needed.
● Streamline internal processes to increase efficiency across the agency. This may include client workflows, project management software, and schedules.
● General support for annual and quarterly business compliance needs, certifications & renewals, and other key operational support tasks.
● Support hiring and onboarding new staff members and contractors.
Project and Schedule Management:
● Collaborate with team leads to create and manage project schedules, ensuring deadlines are met and resources are allocated efficiently.
● Create job numbers, post jobs in Harvest, and manage staff project status list.
● Make SOWs and track project costs.
● Prioritize and track internal projects, ensuring they stay on track and align with company goals.
● Create monthly reports tracking progress against key internal initiatives.
Meeting Coordination and Scheduling:
● Schedule and attend client meetings for your accounts.
● Ensure that all internal meetings, client calls, and external events are scheduled and executed seamlessly.
● Prepare and distribute agendas, meeting materials, and follow-up actions as necessary.
● Plan staff events (in-person and virtual)
● Book travel arrangements for staff.
Business Development Support:
● Oversee HubSpot CRM.
● Conduct background research for new business opportunities.
● Attend in-person networking events, client meetings, and new business pitches.
Preferred Qualifications
● 5+ years of experience in project management and/or operations, ideally at an agency.
● Strong organizational skills and the ability to multitask, prioritize, and meet deadlines.
● Excellent communication skills, both written and verbal, with the ability to manage client relationships effectively.
● High proficiency with project management software (e.g., Asana, Harvest), general office tools (Microsoft Office Suite, Google spreadsheets, Google Docs, Server), and sales/marketing CRMs (HubSpot preferred).
● Ability to work independently and take ownership of tasks while being a collaborative team player.
● Ability to adapt and fluctuate between different working styles to support the Partners and the team in differing capacities.
● Strong attention to detail and proactive approach to problem-solving.

Salary and Benefits
Starting Salary Range: $80,000-$90,000.
Benefits include:
● 50% coverage for health insurance for individuals and dependents
● 401(k) program with 3-5% employer contribution – eligible after six months
