RSI Logistics, recently acquired by Trinity Industries Inc., is looking for a Freight Payment Supervisor. The Freight Payment Supervisor’s primary objective is to manage the freight accrual exception process for rail shipments and activity. In addition to understanding the roles and responsibilities of a freight payment coordinator, this position will also be responsible for ensuring work processes are documented and stored in a retrievable fashion. The Freight Payment Supervisor will also ensure that new employees are properly trained, and that there is a backup system in place to ensure coverage for all desks.
Key Responsibilities:
- Manage freight accrual exception process
- Identify empty and tariff rates as needed and upload them into databases
- Utilize EDI 404/417 to confirm Payer of Freight as required
- Manage accrual without invoice exceptions and ensure these are done in a timely manner
- Resolve accrual and invoice non-match exceptions, ensure disputes and escalations are tasked appropriately
- Create ad hoc reports, as well as assist in KPI metric reporting
- Supervise and train the team freight pay coordinators
- Monitor workload and ensure daily tasks are accomplished
- Ensure proper processes are in place to allow for timely and accurate invoicing
- Escalate issues to internal and external stakeholders as appropriate
- Prepare and provide reporting and metrics that demonstrate service levels and areas to improve
- Identify, implement, and track opportunities for improvement
- Provide information necessary and participate in quarterly stewardship meetings
- Ensure that all work procedures are documented in a consistent format, in a detailed manner that can be easily interpreted
- Establish and maintain a document retrieval system to ensure SOPs are filed consistently in a way in which they can be easily found and retrieved
- Ensure new hires are thoroughly trained as they are being onboarded and ensure a smooth transition to perform the work independently
- Ensure back-up procedures are fully documented, and that back-up personnel have been trained appropriately
Qualifications
- Bachelor's degree specializing in Business Administration, Accounting, Logistics or equivalent work experience
- Five or more years of experience required in Rail Logistics (rail management/marketing, or rail procurement) with at least 3 years of managing employees
- Proficient in technical writing, good communication skills- attention to detail is critical
- Strong written and verbal communication skills are preferred
- Proficient with Microsoft Office, SAP, and knowledge of LMS/TMS Systems
- Strong mechanical aptitude with decision making skills
- Ability to organize, multi-task, and manage multiple competing priorities
- Knowledge of understanding various terms of contracts, and any other legal documentation as it relates to customers and or vendors
