In this project, you’ll join a team building a next-generation healthcare logistics and workflow platform designed to streamline patient orders, medical equipment routing, provider coordination, and regulatory compliance.
Role Overview
The HR + Payroll + Accounting Specialist manages the full employee lifecycle, payroll administration, and day-to-day accounting operations within a HITRUST- compliant environment.
This role ensures that all HR, payroll, and financial processes are executed accurately, securely, and in compliance with federal, state, and industry regulations, including HIPAA and HITRUST CSF control requirements.
Key Responsibilities
🧍 Human Resources & People Operations
- Draft and issue employment contracts, offer letters, and NDAs in coordination with legal counsel.
- Maintain employee records, background checks, and onboarding documentation aligned with HITRUST Domain 05 (Personnel Security).
- Manage policy acknowledgments, annual security training, and disciplinary documentation.
- Administer benefits: evaluate and select medical, dental, and vision plans, coordinate open enrollment, and manage relationships with insurance brokers or PEO vendors.
- Maintain compliance with ACA, FMLA, and Illinois employment law.
- Support HITRUST evidence collection for HR controls (training logs, background-check attestations, access reviews).
💰 Payroll Administration
- Prepare and process payroll bi-weekly or monthly using Deel, Gusto, Rippling, ADP, or QuickBooks Payroll, ensuring accuracy of wages, deductions, and taxes.
- Configure and maintain employee payroll data (benefits deductions, bonuses, PTO, reimbursements).
- Verify gross-to-net calculations and ensure timely submission of payroll taxes and filings (W-2, 941, 940).
- Implement segregation of duties: obtain CFO/CEO approval for each payroll run.
- Reconcile payroll journal entries with accounting records and maintain audit trails for HITRUST.
- Support incident response in case of payroll anomalies or access issues.
🧾 Accounting Support
- Manage accounts payable/receivable, vendor invoices, and employee expense reimbursements.
- Enter and reconcile transactions in QuickBooks Online / Xero; coordinate monthly bank reconciliations.
- Track benefits and payroll liabilities; reconcile carrier invoices to payroll deductions.
- Assist the Finance Controller or external CPA with P&L and balance-sheet reporting.
🔐 Compliance & Security Responsibilities
- Enforce role-based access to HR and payroll systems (SSO + MFA).
- Ensure encryption of all HR and financial data at rest and in transit.
- Conduct quarterly access and segregation-of-duties reviews for HR/finance platforms.
- Maintain evidence for HITRUST controls and participate in annual HITRUST readiness.
🧩 Cross-Functional Collaboration
- Work with the Security & Compliance Officer on policy updates and evidence management.
- Coordinate with external payroll, benefits, and accounting vendors.
- Provide monthly reporting on headcount, payroll costs, and benefits utilization.
- Assist leadership in budgeting and cost forecasting.
Required Qualifications
- Bachelor’s Degree in Accounting, Finance, Human Resources, or equivalent experience.
- 4 + years in combined HR and Accounting/Payroll operations.
- Hands-on experience with Deel, Gusto, Rippling, ADP, or QuickBooks Online.
- Knowledge of U.S. payroll and tax compliance (federal + Illinois).
- Understanding of HITRUST CSF, SOC 2, or HIPAA control frameworks.
- Strong analytical skills, confidentiality, and attention to detail.
- Excellent written and interpersonal communication.
Preferred Qualifications
- Experience working in a regulated or healthcare technology environment.
- Certifications: SHRM-CP, CPP (Certified Payroll Professional), or HITRUST Implementer/Practitioner.
- Familiarity with Intune MDM, Azure AD SSO, and basic security awareness processes.
- Experience coordinating with PEO providers (Justworks, ADP TotalSource, TriNet).
Salary Range
US $60,000 – 80,000 annual base, depending on experience, plus benefits and potential performance bonus.
The role is structured as a three-month contract-to-hire arrangement, with the possibility of earlier conversion to full-time employment based on demonstrated impact, collaboration, and delivery.
