The Operations Associate plays a vital role in the efficient functioning of our firm by prioritizing tasks, resolving client inquiries, and ensuring the smooth processing of client accounts. This position involves collaborating with various departments to deliver an exceptional client experience.
Key Responsibilities
Task Prioritization: Efficiently prioritize tasks by type and urgency to ensure timely and accurate completion of Risk and Wealth-related tasks.
Client Inquiry Resolution: Bring all client requests and inquiries to resolution promptly by researching solutions using Heritage Planning Partners resources.
Documentation: Maintain detailed notes of interactions with clients and each action taken to resolve tasks, ensuring comprehensive records are kept.
Account Management: Work with existing clients accounts to facilitate the transfer of funds into investment accounts and meticulously track progress using tasks and opportunities in a Client Relationship Management system (CRM).
Collaboration: Document all actions taken to fund accounts and onboard clients. Maintain detailed notes in the CRM system to notify internal departments,
Application Processing: Utilize information gathered by Lead Advisors/Relationship Managers (LA/RM) to complete new account/policy applications and forms.
Paperwork Management: Ensure all applications and forms are 100% completed and all compliance forms are completed and submitted to the appropriate departments.
Follow Operational Procedures Compliantly: Follow standard operating procedures to follow up on all tasks within the allotted timeframe to ensure all client have a seamless experience that is acute and efficient.
Qualifications
-Bachelors degree
-Previous experience in a similar role within the financial services industry is preferred.
-Proficient in Microsoft systems and applications.
-Strong focus on accuracy and detail in all aspects of work.
-Life/health insurance license or willingness to obtain one.
-Excellent organizational and multitasking abilities.
-Strong problem-solving skills and ability to research solutions.
