Team Logistics Manager to lead and execute all First Team administrative and operational functions in alignment with National Women's Soccer League (NWSL) standards.
This role manages daily team operations, including travel execution, sporting ops match preparation, player and staff support, ensuring players, coaches, and technical staff, have all logistical needs for match days. The Team Administrator plays a vital role in creating a professional, structured, and service-oriented environment that supports on-field success.
Responsibilities
- Oversee the travel budget and co-leader budget planning, including in‑season management and future season projections.
- Negotiate, execute, and manage contracts with airlines, bus companies, team hotels, and other vendors in alignment with club and league standards and budget parameters.
- Manage Facility Ops Employee and Team Operations Interns. Provide mentorship to employees and interns, approve timecards and create schedules, performance management of assigned staff, be integrally involved in, and provide input on, hiring and termination decisions for these positions. Provide ongoing support and advice to top management to ensure effective daily operations.
- Research and evaluate options to increase operational efficiency within employee’s scope of responsibility.
- Participate in and contribute to leadership meeting and communications regarding key decisions regarding travel and matchday logistics.
- Advise CFO and GM on annual travel budget and team expenses.
- Lead and coordinate all team movements while traveling to and from competitions, exercising autonomous, real‑time decision‑making to ensure seamless execution. Address and remedy travel issues (delays, re-routes, lost luggage, etc.) autonomously and with minimal impact to team preparation
- Ensure full compliance with NWSL rules, league guidelines, the Operations Manual, and the CBA; liaise directly with the league office and attend required Team Administrator meetings while keeping various trackers up to date.
- Manage player onboarding and documentation, including trialists and amateur players, and maintain official team contact list, recommending and evaluating potential changes to onboarding documentation and processes as warranted.
- Direct and execute all team travel logistics, including detailed itineraries, flights, ground transportation, hotels, meeting space, and meals in collaboration with team Nutritionist.
- Manage travel changes, request and distribute per diem, and accompany the team to all away matches as the primary travel contact.
- Oversee match preparation and home game operations, including team timelines, referee coordination, credentials and ticket allocations (home and away), official match documentation, parking, post-game meals, visiting team support, and post-match wrap-up.
- Manage daily and seasonal team scheduling in collaboration with Sporting Staff, including training calendars, meetings, meals, player obligations, and appearances.
- Communicate schedules and manage Teamworks (or equivalent platform), including postings, announcements, files, and profile administration.
- Lead logistical planning for preseason, special events, and other team activities.
- Assist with player onboarding, relocation, and housing coordination for domestic and international players, supporting their integration into the club and community.
- Collaborate cross-functionally with Sporting Staff and Front Office Staff to ensure seamless execution of team-related needs and ensure communication.
- Serve as part of leadership team on budgeting oversight related to team operations, administrative projects, and other duties as assigned to advance club objectives.
- Serve as the primary administrative lead for all First Team operations and act as a central resource for players, coaches, and sporting staff.
Qualifications
- Minimum of 2+ years of experience in professional or collegiate sports operations; soccer and/or NWSL experience preferred.
- College degree required, preference given to relevant field and course work.
- Strong background in team logistics and group travel coordination, including air, ground, and hotel management.
- Comprehensive understanding of NWSL rules and regulations, including the CBA and professional standards of compliance.
- Experience working with elite and/or international athletes.
- Highly organized with exceptional attention to detail and the ability to manage multiple priorities in a fast-paced environment.
- Excellent communication, interpersonal, and leadership skills with high emotional intelligence.
- Professional, proactive problem solver with sound judgment and discretion.
- Ability to work non-traditional hours, including evenings, weekends, holidays, and all home and away matches.
- Bilingual proficiency preferred.
- Proficient in Microsoft Office Suite and team management platforms (i.e. Teamworks).
