The Logistics & Warehouse Coordinator reports to the Procurement Manager and is responsible for coordinating logistics operations, supporting warehouse and inventory management, and maintaining accurate documentation across equipment movement and procurement activities.
This role ensures materials and equipment are delivered efficiently between suppliers, warehouses, and project sites. The position works cross-functionally with project teams, suppliers, logistics providers, and warehouse partners to support project execution and operational efficiency.
The ideal candidate is organized, proactive, detail-oriented, and able to operate effectively in a fast-paced environment.
Key Responsibilities
Logistics Coordination
- Coordinate equipment deliveries to project sites and warehouses.
- Confirm delivery schedules and requirements with project managers and project coordinators.
- Liaise with carriers, warehouses, and third-party logistics providers (3PLs) to monitor shipments and delivery status.
- Support urgent logistics needs such as replacement or spare equipment shipments.
- Identify and secure warehouse storage space for upcoming equipment deliveries.
Warehouse & Inventory Management
- Maintain accurate records of equipment inventory and shipments.
- Coordinate goods receipts and ensure alignment with warehouse records.
- Conduct periodic inventory counts and warehouse visits.
- Investigate and escalate inventory discrepancies as needed.
- Provide monthly inventory reporting to the accounting team.
- Review warehouse invoices for pallet counts, rates, and project cost allocations.
Commercial & Rate Management
- Negotiate operational freight, transportation, storage, and handling rates with existing logistics partners within approved scope.
- Support updates to logistics and warehouse agreements in coordination with Procurement.
Documentation & Administrative Control
- Prepare logistics and procurement documentation including purchase orders, packing lists, and shipment records.
- Maintain organized records to support internal controls, audits, and reporting.
- Ensure alignment between purchase orders, shipment documentation, goods receipts, and invoices.
Procurement Support
- Prepare purchase orders for minor equipment and operational items such as spare parts and replacement components.
- Track supplier deliveries and follow up on required documentation.
- Maintain procurement and supplier records.
- Support the Procurement team with supplier coordination and documentation updates.
Qualifications
Education
Bachelor’s degree in supply chain management, Logistics, Business Administration, International Business, or equivalent experience.
Experience
- 1+ years of experience in shipping, warehouse operations, or logistics coordination
- Experience working with logistics providers, freight coordination, or inventory management preferred.

Physical Requirements

- Onsite: Monday – Thursday and remote on Friday
- Occasional travel may be required.
