As we continue to grow, we are seeking an experienced Order Management & Fulfillment Coordinator to join our Operations team.

Position Summary

The Order Management & Fulfillment Coordinator is responsible for managing the complete order fulfillment process, ensuring customer orders are processed accurately and efficiently from receipt through final delivery.

This role works closely with customers, Sales, third-party logistics providers, transportation providers, and internal departments to ensure timely order execution and accurate order records.

The ideal candidate has prior experience in a B2B order management environment and understands the end-to-end order fulfillment process, including purchase orders, inventory coordination, shipping documentation, transportation, invoicing, and ERP systems.

Key Responsibilities

Process and manage customer purchase orders from receipt through shipment and invoicing.
Review orders for accuracy, pricing, inventory availability, shipping requirements, and customer-specific instructions.
Coordinate daily with third-party logistics providers, warehouses, carriers, and transportation providers.
Schedule shipments and prepare shipping documentation, including Bills of Lading.
Monitor inventory availability and coordinate product allocations, backorders, and order adjustments when necessary.
Track shipments and proactively communicate order status, delays, and delivery updates.
Resolve shipping discrepancies, shortages, damages, backorders, and other order-related issues.
Generate invoices and maintain accurate customer and order information within the ERP system.
Maintain supporting documentation related to customer orders, shipments, and deliveries.
Collaborate with Sales, Operations, Logistics, Warehousing, and Accounting to ensure the smooth execution of customer orders.
Prepare operational reports and analyze order, inventory, and shipment data using Microsoft Excel.
Identify opportunities to improve order fulfillment processes, accuracy, and operational efficiency.

Required Qualifications

Minimum of 3 years of experience in Order Management, Order Fulfillment, Customer Operations, Supply Chain, Logistics, or Operations.
Experience processing and managing B2B customer orders.
Experience coordinating with third-party logistics providers, warehouses, carriers, and transportation companies.

Working knowledge of:
Purchase orders
Bills of Lading
Shipping documentation
Order fulfillment processes
Invoicing
Inventory coordination
Strong Microsoft Excel skills, including Pivot Tables, XLOOKUP or VLOOKUP, formulas, filtering, and data analysis.
Experience working with ERP systems. NetSuite experience is preferred.
Strong organizational, communication, and problem-solving skills.
Excellent attention to detail and a high level of accuracy.
Ability to manage multiple priorities and meet deadlines in a fast-paced environment.

Preferred Qualifications

Experience in a high-volume B2B order fulfillment environment.
Experience in distribution, wholesale, manufacturing, import/export, consumer goods, apparel, footwear, industrial products, retail distribution, or a similar industry.
Familiarity with EDI transactions and customer compliance requirements.
Experience working with large retailers, distributors, or e-commerce customers.
A continuous-improvement mindset and the ability to identify opportunities to streamline processes.

Position Details

Full-time position
Onsite in the financial District NYC, Monday through Friday
Salary range: $60,000–$90,000, depending on experience
