Our North American team is continuing to grow, and we are seeking a detail-oriented Operations Assistant with strong data, technical, and administrative capabilities to support critical operational documentation and reporting.
Position Summary
The Operations Assistant is responsible for accurate data entry, maintenance, and organization of operational and project-related records. This role focuses heavily on data management, reporting, documentation control, and supporting compliance-related administrative processes. The ideal candidate has a strong technical background, excellent attention to detail, and the ability to manage high-volume data in a fast-paced environment.
This position plays a key role in ensuring FairWind’s project documentation— including labor, workforce, and training records—remains accurate, complete, and audit-ready.
Key Responsibilities
Data Management & Reporting
- Enter, update, and maintain data in project and workforce tracking systems.
- Perform routine data quality checks to ensure accuracy, consistency, and completeness.
- Generate, format, and distribute weekly and monthly operational reports.
- Maintain structured digital file systems, ensuring proper organization and retention of project records.
- Support the creation and updating of dashboards, spreadsheets, and tracking tools in Excel or similar platforms.
Documentation & Recordkeeping
- Organize, archive, and retrieve project, workforce, and training documentation.
- Assist with documentation required for project audits, workforce validation, and internal reviews.
- Coordinate with payroll, HR, and field operations to resolve discrepancies in submitted information.
Operational & Administrative Support
- Prepare and submit standardized project documentation packages as required.
- Respond to internal team inquiries related to project records, labor data, or document requirements.
- Monitor updates to internal processes and ensure data systems reflect current requirements.

Requirements
Required Qualifications
- Bachelor’s degree in information technology, Finance, Data Analytics, Information Systems, or a related technical field.
- 1+ years of experience in data management, operations support, analytics support, compliance administration, or similar fields.
- Strong proficiency in Excel and comfort working with complex spreadsheets and databases.
- Experience with HRIS, payroll, timekeeping, or other enterprise systems is an asset.
- Excellent attention to detail and strong organizational skills.
- Ability to manage confidential information with discretion.
- Strong written and verbal communication skills.
- Ability to work independently, meet deadlines, and support multiple projects simultaneously.
Preferred Qualifications
- Experience working with labor or workforce documentation.
- Exposure to regulatory, audit, or compliance-driven environments.
- Familiarity with wage-related or labor-related documentation tracking (can be learned on the job).
